Onboarding
Live in 48 hours — the done-for-you activation checklist.
From the moment you sign to a booked, qualified appointment on your calendar in two days. The hours below split clearly between what you do and what we do — every action below is specific enough that a new pilot client can start without follow-up questions.
Before you start
Timeline
Hour-by-hour: what you do, what we do.
Each row is a milestone. The client column is the smallest action that moves that milestone forward; the operator column is the work that runs in parallel.
| Hour | Milestone | Client does this | Operator does this |
|---|---|---|---|
H0 | Claim Google Business Profile | Open business.google.com, claim or re-verify your listing, then paste the GBP URL into the Appointify share field so ownership can be confirmed. | Verify GBP ownership, run a NAP (name / address / phone) consistency audit across the web, and confirm the GBP messaging channel is enabled. |
H0 | Install chat widget snippet | In your website CMS, paste this snippet between the <head> and </head> tags: <script src="https://cdn.appointify.app/widget.js" defer></script>. Save, then send us the staging URL. | Confirm the snippet fires on the staging URL, then push to production. Smoke-test one lead end-to-end before handing the page back. |
H4 | Set Calendly event | In Calendly, create a 20-minute "Strategy call" event with slug strategy-call-20. Use a Google Meet link if your team uses Google Workspace, Zoom otherwise. | Wire the Calendly webhook to the Appointify intake so every booking lands in the operator dashboard with the qualification transcript attached. In Calendly → Integrations, connect Google Calendar. Two-way sync is on by default for the Appointify workspace. Appointments made through the booking link land in the agency calendar in real time. |
H24 | Enable SMS follow-up | From your cell phone, text the keyword START to the Twilio number we assigned you. That opts your contact record into SMS follow-up. | Enable the Twilio transport in Appointify, verify the inbound and outbound roundtrip, and confirm opt-in timestamps are recorded on the contact. |
H48 | Smoke-test the full funnel | Place one QA chat, one SMS, and one phone call. Confirm a real slot is booked on your calendar and that the qualification prompts make sense for your business. | Run an end-to-end dashboard review (chat → transcript → CRM → Calendly → SMS), resolve any drift, then send the public go-live announcement. |
Times are measured from kickoff wrap, not from signature. We hold the schedule; if a client-side action slips, the operator absorbs the slack and re-anchors the milestones before they cascade.
Inputs
What you need to provide — and what we handle.
Four checkpoints. Three are short client actions; one is operator-owned end to end.
We need read access so we can verify ownership and audit your NAP across the web before launch.
Read-only access is enough for the operator to wire the webhook; you keep full editing rights.
We paste a single <script> snippet into the <head>. No theme, plugin, or copy changes — leave locked where you want it.
We provision a local number for your business. You never see a Twilio bill, and we own compliance.

Ready when you are
Open the activation kit — pick the vertical, hit Go Live.
Sign in to walk the seven-step wizard end to end. The integrations editor picks up after the vertical is chosen; the go-live page is the gate before we announce.
The kit is live — every checklist row, every integration pull, every welcome-email ack is recorded on the workspace the moment you sign in. The PDF below is a static placeholder for the short-list buyer who wants a printed copy.
